Privacy Policy

1. Information we collect

We collect the account details you provide (name, email), the client and session information you enter into the platform, files you upload (documents, images, and call recordings), and generated artifacts such as transcripts and AI coaching analysis. We also record usage metadata needed to operate the service (for example, processing events and cost tracking).

2. How we use information

We use your information to provide the coaching platform: storing your records, transcribing recordings, generating AI analysis, producing reports, and supporting billing and account management. We do not sell your data.

3. AI processing and third-party providers

To transcribe audio, extract text from documents, and generate coaching analysis, content may be sent to third-party AI providers (such as Groq and Google Gemini) and to infrastructure providers used to run the service (such as our hosting, database, and file-storage vendors). These providers process data on our behalf under their own terms. You can influence which AI provider is used, or use your own API key, in Settings.

4. Storage and security

Uploaded files are stored in private, access-controlled storage, and sensitive fields are encrypted. We apply reasonable technical and organizational measures to protect your data, though no system is perfectly secure.

5. Client consent

Recording and transcription are gated on capturing recording and transcription consent for each client. As the coach, you are responsible for obtaining and honoring your clients' consent before recording sessions.

6. Data retention

We retain your data for as long as your account is active or as needed to provide the service, and honor the retention and deletion choices recorded during offboarding. You may request export or deletion of your data.

7. Your rights

Depending on your jurisdiction, you may have rights to access, correct, export, or delete your personal data. Contact us to exercise these rights.
